How to Build an AI Email Assistant that Manages Your Inbox Automatically

Create an AI assistant that reads your emails, categorizes them, responds automatically to common messages, and keeps your inbox organized 24/7.

What You'll Build

In this tutorial, you'll create an AI email assistant that can:

  • Auto-reply to common emails - Answer FAQs, meeting requests, and routine inquiries automatically
  • Categorize and prioritize - Sort emails by importance and flag urgent messages
  • Draft responses - AI writes draft replies for you to review and send
  • Filter spam and newsletters - Keep your inbox clean automatically

Prerequisites

Before starting, you'll need:

  • An Everna account (sign up at app.everna.io)
  • An email account (Gmail, Outlook, or any email provider)

Works with any email provider. No technical setup required.

Step 1: Create Your Email Assistant

1

Create New Agent

Go to app.everna.io and create a new agent. Name it "Email Assistant" or "Inbox Manager".

2

Define How to Manage Emails

Tell your agent exactly how to handle different types of emails:

Example 1: Customer Support

"Monitor my support@company.com inbox. For questions about pricing, reply with our pricing page link. For bug reports, create a draft response asking for more details and mark as urgent. For feature requests, reply thanking them and saying we'll consider it. Auto-archive newsletters and promotional emails."

Example 2: Personal Assistant

"Check my personal Gmail every hour. Auto-reply to meeting requests with my availability. For emails from my boss or important contacts, send me an immediate Slack notification. Archive promotional emails and newsletters. Draft polite responses to cold emails declining the offer."

Example 3: Sales Follow-up

"Monitor sales inquiries. When someone asks for a demo, reply immediately with my calendar link. For pricing questions, send our pricing breakdown. Follow up with leads who haven't responded in 3 days. Track all interactions in my CRM automatically."

3

Connect Your Email

Connect your email account so the agent can read and respond:

  • Email Access - Gmail, Outlook, or your email provider
  • Notifications (Optional) - Get alerts for important emails via Slack or SMS

Sign in with your email account. Your agent will have access only to what you allow.

4

Launch Your Assistant

Click "Create Agent" and it will start monitoring your inbox immediately. You'll get notifications for important emails and auto-replies will be sent.

Best Practices

  • Review first few responses

Check the first responses your agent sends to make sure the tone and content are appropriate.

  • Use drafts for important emails

For sensitive or important contacts, have the agent create drafts instead of sending directly.

  • Set clear boundaries

Tell the agent what NOT to respond to automatically (e.g., emails from your boss, legal matters).
